Narrativ3 acts as the data controller for the personal data described in this policy. Where we handle personal data on behalf of a client as part of a paid engagement, we act as a data processor. Please see the section titled Client Data and Managed Accounts below.

We do not knowingly collect special category data and we ask that you do not send it to us.

How We Collect Your Data

We collect personal data directly from you when you:

  • Download a guide or other resource from our website
  • Book a discovery call through the scheduling widget on our website
  • Contact us by email, telephone or through a social platform
  • Discuss a potential engagement, request a proposal or become a client
  • Subscribe to, open or interact with our email communications

We may also collect limited business contact information from publicly available professional sources, such as company websites and professional networking platforms, where we have a legitimate interest in contacting an organisation about services that are relevant to it.

How We Use Your Data and Our Lawful Basis

Under UK data protection law, we must have a lawful basis for processing your personal data. We rely on the following lawful bases depending on the nature of the interaction.

Contractual Necessity: We use your information to deliver a resource you have requested, respond to enquiries, arrange and hold discovery calls, prepare proposals, deliver agreed services, manage an ongoing engagement, issue invoices and process payments.

Legitimate Interests: We use your information where reasonably necessary to operate and improve our business, maintain accurate communication and project records, respond to enquiries, understand which content and campaigns are effective, contact organisations about services relevant to them, prevent fraud or misuse, recover unpaid amounts and protect the security and performance of our website and systems. We consider these interests against your rights and freedoms.

Legal Obligation: We may use and retain information where required to maintain financial, accounting, tax or other statutory records and to comply with applicable legal obligations.

Consent: Where consent is required, such as for certain non-essential cookies, third-party embedded content or marketing emails where consent is the appropriate basis, we will ask for your permission. You may withdraw your consent at any time.

We do not sell personal data to third parties and we do not use automated decision-making or profiling that produces legal or similarly significant effects.

Marketing Communications

If you download a guide or otherwise provide us with your email address, we may send you related insights, updates and information about our services.

Every marketing email includes an unsubscribe link, and you can ask us to stop at any time by emailing rohan@rcp-media.com. Unsubscribing does not affect communications that form part of an active engagement, such as project updates, reports or invoices.

Client Data and Managed Accounts

Where we are engaged to manage social channels, founder profiles, content or campaigns on behalf of a client, we may be given access to systems and accounts that contain personal data belonging to that client, its audience or its team.

In those circumstances the client is the data controller and Narrativ3 acts as a data processor. We handle that information only on the client’s documented instructions and under the terms of our engagement, and we do not use it for our own purposes. This Privacy Policy does not govern that processing.

Third-Party Service Providers

We use a limited number of trusted third-party providers to support the operation of our business and website. These may include:

  • Website hosting, domain, security and maintenance providers
  • Email and communication providers
  • A customer relationship management and marketing automation platform, used to store enquiries and send our email communications
  • A workflow automation provider, used to pass form submissions from our website into that platform
  • Calendly, our scheduling provider, which powers the discovery-call booking widget on our website
  • A privacy-focused website analytics provider that does not use cookies and does not collect personal data
  • Cloud storage and business administration platforms
  • Accountants, insurers and professional advisers
  • Payment-processing providers

These providers may process personal data only where necessary to provide their services to us and are expected to apply appropriate security and confidentiality measures.

We may also disclose information where required by law, regulation, a court order or a competent public authority.

Cookies

Our website uses very few cookies. Our website analytics provider is cookieless, does not collect personal data and does not track visitors across other websites.

Some third-party embedded content, such as our discovery-call booking widget, may set cookies in your browser when it loads. Where consent is required, that content is not loaded until you have given your permission.

Keeping Your Information Secure

We take reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, accidental loss or misuse. These include access controls, encrypted connections and the use of reputable providers.

However, no internet-based system or method of electronic storage can be guaranteed to be completely secure.

International Data Transfers

Some of the providers we use, including our customer relationship management platform and our scheduling provider, may store or process information outside the United Kingdom.

Where this occurs, we take reasonable steps to ensure that appropriate safeguards recognised under UK data protection law are in place, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
